Regulatte AI is operated by Polar Insight Limited, a company registered in England and Wales. In this policy, “we”, “us” and “our” refer to Polar Insight Limited.

We are the data controller for the personal data described in this policy. If you have any questions, please contact us at hello@regulatte.ai.

We collect only the minimum data needed to provide and improve Regulatte AI:

• Early access requests: your name, work email address, and (optionally) your firm name, submitted via the request form on our landing page.
• Profile data: your NED role, firm type, and regulatory priorities, which you voluntarily enter inside the app. This data is stored locally in your browser only and is never sent to our servers.
• Feedback: if you choose to submit feedback inside the app, we store the message and your name (if provided).

We do not use analytics trackers, advertising pixels, or third-party cookies. We do not collect data about your browsing behaviour.

• To send you your Regulatte AI access credentials when they are ready.
• To send you the email digest you request through the app.
• To respond to feedback and improve the service.
• To contact you with important service updates (not marketing).

We process your data on the basis of legitimate interests: specifically, operating and improving Regulatte AI, and contract performance where you are a paying subscriber. For email communications, we rely on your consent (implicit when you request access or explicitly request a digest).

We use Resend (resend.com) to deliver transactional emails. Resend acts as a data processor and processes only the email address and content necessary to deliver messages. We do not sell your data or share it with any other third party.

• Waitlist data: retained until access is granted and for up to 12 months thereafter, or until you ask us to delete it.
• Feedback: retained for up to 24 months or until deletion is requested.
• Profile data: stored only in your browser’s local storage and never transmitted to us; cleared when you clear your browser data.

Regulatte AI uses a single, strictly necessary session cookie to keep you signed in. This cookie contains no personal data and is deleted when you sign out or when it expires (30 days). No consent is required for strictly necessary cookies under UK PECR.

You have the right to:

• Access the personal data we hold about you.
• Rectify inaccurate data.
• Erase your data (“right to be forgotten”).
• Object to processing based on legitimate interests.
• Data portability: receive your data in a machine-readable format.

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO).

We may update this policy from time to time. The date at the top of this page shows when it was last revised. We will notify existing users of material changes by email.
